Sanlam Life Insurance Zambia Limited invites applications from suitably qualified and experienced candidates for the position of OHS, Facilities & Administration Officer.
Job Summary
The OHS, Facilities & Administration Officer will operate under the Human Capital Department and support the Procurement function and all branch locations. The role is responsible for the effective management of facilities, administration services, workplace safety, physical security and regulatory compliance across the organisation.
The incumbent will drive the implementation of Occupational Health and Safety (OHS) programmes, coordinate facilities operations, manage service providers and ensure that all workplaces are safe, efficient, compliant and conducive to high levels of employee productivity and customer service. The role requires a proactive individual capable of balancing operational excellence, risk management, business continuity and stakeholder engagement.
Key Responsibilities
Occupational Health and Safety Management
- Develop, implement and maintain OHS programmes, policies and procedures across the organisation.
- Ensure compliance with applicable OHS legislation, standards and regulations.
- Conduct regular workplace inspections, risk assessments, safety audits and hazard identification exercises.
- Lead incident reporting and investigate workplace incidents, accidents and near-misses, recommending corrective and preventive actions.
- Coordinate emergency preparedness programmes, fire safety initiatives, drills, safety training and evacuation drills.
- Promote health, safety and wellness awareness through campaigns, sensitisation and employee engagement initiatives.
- Maintain statutory records, safety registers and compliance documentation.
- Monitor OHS performance indicators and prepare periodic reports.
Facilities Management
- Oversee the maintenance, safety, security and operational efficiency of company facilities and branch locations.
- In liaison with the relevant Branch, coordinate repairs, maintenance activities, renovations and workspace optimisation initiatives.
- Ensure uninterrupted provision of utilities and facility support services.
- Monitor office leases, service agreements, facilities-related vendor contracts and facilities expenditure, while supporting cost optimisation initiatives.
- Identify opportunities for energy efficiency, sustainability and infrastructure improvements to enhance operational efficiency and employee experience.
- Ensure facilities meet required safety, environmental and operational standards.
Administration Support
- Coordinate office administration services to ensure efficient and effective operations across all locations.
- Maintain company asset registers and support periodic asset verification exercises.
- Develop and maintain administrative procedures, service standards and operational guidelines.
- Coordinate insurance claims relating to company facilities and assets as needed.
- Support departmental and organisational projects requiring administrative coordination.
Governance, Compliance and Risk Management
- Ensure compliance with applicable occupational health, safety, environmental, facilities management and administrative regulations.
- Identify potential risks related to workplace safety, security and administration and recommend mitigation measures.
- Promote sound governance practices and continuous improvement across all areas of responsibility.

Minimum Qualifications and Experience
- Full Grade 12 Certificate or equivalent.
- Bachelor's Degree in OHS, Facilities Management, Business Administration, Engineering, Environmental Health or a related field.
- A Master's Degree will be an added advantage.
- Professional certification in OHS such as NEBOSH, OSHA, IOSH or equivalent.
- Membership of a relevant professional body will be an added advantage.
- Minimum of four (4) years' relevant experience in OHS, facilities management, administration or a related field.
- Demonstrated experience managing multiple sites, branches or operational locations.
- Prior experience in a regulated industry such as financial services, insurance or banking will be an added advantage.
- Proficiency in Microsoft Office applications.
- Valid driver's licence will be an added advantage.
