Position: Administrative Assistant
Job Summary
The Administrative Assistant plays a key support role in ensuring the efficient operation of the branch by assisting the Branch Manager and other departmental teams. The role involves handling a wide range of administrative and coordination tasks including but not limited to documentation, communication, scheduling, and reporting. The Administrative Assistant serves as the backbone of daily operations, ensuring smooth communication across departments and helping the Branch Manager execute branch-level goals and responsibilities.
Key Responsibilities
- Provide direct administrative support to the Branch Manager including calendar management, meeting coordination, document preparation, and follow-up on action items.
- Act as a liaison between the Branch Manager and department heads, ensuring timely communication and task execution.
- Maintain and organize up-to-date records for clients, vendors, employees, and general operations.
- Support in preparing and compiling reports, presentations, and documentation required by the Branch Manager.
- Assist in tracking departmental KPIs and reporting progress to the Branch Manager.
- Help monitor inventory levels and support procurement documentation and vendor coordination.
- Assist in enforcing branch compliance with company policies and procedures.
- Coordinate staff schedules, leave records, and timesheets in collaboration with HR.
- Manage correspondence, including emails, calls, and mail; draft responses and route messages as necessary.
- Organize internal meetings, staff briefings, and logistics for site visits or client appointments.
- Ensure that the office environment remains professional, clean, and well-organized.
- Maintain confidentiality in all matters related to branch operations, staff, and customers.
- Provide general administrative support across all departments as needed.
Experience and Skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work under pressure, manage deadlines, and handle confidential information.
- Excellent communication skills—both written and verbal.
- A proactive attitude and willingness to take initiative and support team goals.
- Experience supporting senior leadership is an advantage.
Qualifications
- Diploma or Bachelor's Degree in Business Administration, Office Management, or related field (preferred).
- Minimum 2 years of experience in an administrative or office coordination role.
- Strong organizational and multitasking skills, with attention to detail.
