ADMINISTRATIVE ASSISTANT

Carbon Lotus Resource Partners is seeking a qualified and experienced Administrative Assistant to join its team in Lusaka.
Key Responsibilities
Administrative Coordination
- Manage correspondence and route inquiries.
- Coordinate appointments, maintain calendars, and arrange meetings.
- Prepare meeting agendas and record minutes.
Records & Reporting
- Maintain accurate physical and digital filing systems.
- Update records and databases.
- Compile operational data and prepare routine management reports.
Office & Facility Support
- Monitor office supplies and place orders.
- Track office-related expenses.
- Coordinate vendors and service providers.
- Help maintain a safe, organized, and efficient workplace.
Finance & Payments
- Process invoices and reconcile payments.
- Manage petty cash documentation.
- Maintain the Cash Journal.
- Submit financial records for verification.
Budget Support
- Assist in preparing annual operating budgets.
- Monitor approved budget implementation.
- Support budget reviews and record non-compliance where applicable.
HR Administration
- Coordinate staff onboarding and workspace setup.
- Manage personnel records and HR information.
- Update leave records, public holidays, recruitment, and staff exits.
Payroll & Benefits Support
- Provide payroll and benefits information to the Finance Department.
- Support administration of statutory contributions and employee benefits.
Procurement & Contract Management
- Manage tender and bid processes from initiation to submission.
- Monitor contract renewal dates and procurement schedules.
- Maintain procurement forecasts and implementation records.
- Upload supporting documents into company systems.
- Maintain organized, audit-ready contract files.
Administrative Support
- Provide general administrative assistance as assigned.
Required Skills
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and related software.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Professional customer service skills.
- Strong problem-solving and adaptability.
- Knowledge of ZPPA and eGP bid preparation and submission procedures.
- Competence in tender preparation.
- Willingness to travel at short notice.
- HR qualification or relevant HR experience.
Qualifications & Requirements
- Diploma or higher qualification in Business Administration or a related field.
- Female applicant, not older than 35 years.
- Proven work experience supported by three professional references.
- Valid driver's licence.
- Valid passport.
- Evidence of no criminal record.
- Experience in the energy, gas, petroleum, or construction industries is strongly preferred.
